If you are travelling to China for a trade show — whether as a buyer walking the aisles or an exhibitor staffing a booth — your visa is one of the first things to sort out. Requirements vary by nationality, purpose of travel, and current policy, so always confirm details with your local Chinese embassy or visa centre before applying.

Visitor or exhibitor: does it matter?

Both attendees and exhibitors usually enter China for a temporary business-related visit. The important distinction for your application is how you describe your trip:

  • Visiting an expo to meet suppliers, scout products, or research a market is typically a business-purpose visit.
  • Exhibiting at an expo — setting up a stand, displaying products, and meeting customers — is also a business-purpose visit, but you may need additional documentation from the show organiser.

In either case, you should not apply for a visa type that misrepresents your plans. Consular officers expect your stated purpose to match your itinerary and supporting documents.

Common visa categories

Policies change, but most international expo travellers encounter one of these:

Business visa (M)

The M visa is widely used for commercial and trade activities, including attending meetings, negotiations, and trade fairs. If you are visiting an expo primarily for sourcing, partnerships, or market research, this is often the appropriate category — subject to your nationality’s rules.

Tourist visa (L)

An L visa is intended for tourism. It is generally not suitable if your main reason for travel is a trade show, even if you plan some sightseeing afterwards. Applying with the wrong category can lead to refusal or problems at the border.

Some nationals benefit from visa-free transit or visa-free entry schemes for short stays. These may work for a quick visit combined with other travel, but they often restrict business activity. Check whether expo attendance is permitted under the scheme before relying on it.

Invitation letters and expo documentation

For business visas, applicants often need an invitation letter from a host in China. For trade shows, useful documents may include:

  • Official invitation letter from the expo organiser (many major fairs provide templates for registered visitors or exhibitors)
  • Exhibitor confirmation or booth contract if you are showing products
  • Visitor pre-registration confirmation from the event website
  • Letter from your employer explaining your role and reason for travel

If you are exhibiting, ask the organiser early what visa support they provide and how long it takes to issue. Large fairs such as the Canton Fair have established processes; smaller regional shows may require more coordination.

How early should you apply?

As a rule of thumb:

  • Start researching requirements 8–12 weeks before travel
  • Request invitation letters as soon as you register or confirm booth space
  • Submit your visa application 4–6 weeks before departure, or earlier in peak seasons (spring and autumn fair periods)

Processing times vary by country and demand. During major expo seasons, visa centres can be busier than usual.

Tips for a smoother application

  • Use the visa centre or embassy website for your country of residence — rules differ from nationality to nationality in some cases
  • Ensure your passport has sufficient validity (often six months or more beyond your stay)
  • Keep hotel bookings, return flights, and expo registration confirmations consistent with your application
  • If your company is sending several staff, coordinate applications so invitation letters list the correct names and passport numbers
  • Bring printed copies of expo badges, booth numbers, and meeting schedules when you travel

At the border

Have your supporting documents accessible along with your visa. Officers may ask about your itinerary, who you are meeting, and where you are staying. A clear answer — “I am attending [expo name] in [city] from [dates]” — backed by registration or invitation paperwork, helps avoid delays.

After the expo

If you plan follow-up factory visits or meetings in other cities, make sure your visa and entry permissions cover the full trip before you arrive. Extending a stay or changing purpose after entry is subject to local rules and is not always possible.
